This policy explains what personal information Singh EPCs collects, why, and what happens to it. I take your privacy seriously and only collect what I need.
Who I am
Singh EPCs is a domestic energy assessor business serving the West Midlands, accredited by Quidos. I am the data controller for the information described below. You can contact me at mahaanss11@gmail.com or on WhatsApp through the button on this site.
What I collect
- Enquiry details: your name, email address, phone number, the property address and any message you send through the quote form, email, phone or WhatsApp.
- Property information: details and photographs of the property recorded during an EPC assessment, such as its size, construction, heating and insulation.
- Booking and payment records: the details needed to arrange a visit, invoice you and keep accounting records.
This website does not use advertising cookies or tracking tools. Our hosting provider may keep basic technical logs (such as IP address and browser type) for security and to keep the site running.
Why I use it
- To reply to your enquiry and give you a quote (legitimate interests, or steps you ask me to take before a contract).
- To carry out your EPC assessment and issue your certificate (contract).
- To lodge the certificate on the national EPC register, as required for the work (legal obligation).
- To keep records for tax, accounting and my accreditation scheme (legal obligation and legitimate interests).
I do not sell your information and I do not use it for marketing unless you ask me to.
Who I share it with
- The national EPC register: certificates and the property data behind them are lodged on the register, and EPC information is publicly searchable by address.
- My accreditation scheme (Quidos): they may audit my work, which can include reviewing assessment records.
- Service providers: Resend (which delivers your quote form enquiry to my inbox), my email provider and my website host (Cloudflare), who process data on my behalf.
Some of these providers may be based outside the UK. Where that happens, I rely on appropriate safeguards such as the UK addendum to standard contractual clauses or an adequacy decision.
How long I keep it
- Enquiries that do not become a booking: up to 12 months.
- Assessment records and photographs: as required by my accreditation scheme, which can be several years.
- Invoices and accounting records: six years, as required for tax purposes.
Your rights
Under UK data protection law you can ask to see the information I hold about you, have it corrected or deleted, restrict or object to how I use it, and ask for a copy in a portable format. Some information, such as lodged EPC data and tax records, I am legally required to keep. To make a request, email me at mahaanss11@gmail.com.
If you are unhappy with how I handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I would appreciate the chance to put things right first.
Security
This site uses HTTPS and I keep customer information in password-protected accounts with two-factor authentication where available.
Changes
If I change this policy I will update the date at the top of this page.
